How to Set Your Microsoft Teams Virtual Background

Microsoft Teams supports custom virtual backgrounds on both desktop and web, making it easy to present a professional, branded look on every call. A background with your name and title is especially powerful for client-facing roles — sales, consulting, recruiting, and leadership.

Here's how to create a custom background with Nameplate and upload it to Teams in under two minutes.

Step 1: Create Your Background

1. Open the Nameplate Background Generator
2. Enter your name, title, and company
3. Select a professional template and customize the colors to match your brand
4. Optionally add your company logo and a QR code linking to your profile or booking page
5. Click Download PNG — you'll get a 1920×1080 image ready for Teams

Step 2: Upload to Teams (Before a Meeting)

1. Open Microsoft Teams on your desktop
2. Click your profile picture in the top right
3. Go to Settings → Backgrounds & effects (or Settings → Devices in older versions)
4. Click + Add new in the background images section
5. Select your downloaded Nameplate PNG file
6. Click the image to preview it, then click Apply

Step 3: Change Background During a Meeting

1. During a Teams meeting, click More (⋯) in the meeting toolbar
2. Select Video effects (or Apply background effects)
3. Click + Add new to upload your custom image
4. Select your Nameplate background and click Apply
5. Your background updates in real time — everyone on the call sees it immediately

Alternative: File Upload Method

On Windows, you can also place your background image directly in the Teams uploads folder:

1. Open File Explorer and navigate to:
   %APPDATA%\Microsoft\Teams\Backgrounds\Uploads
2. Copy your Nameplate PNG into this folder
3. Restart Teams — your background will appear in the selection panel

Teams Background Requirements

• Resolution: Minimum 1920×1080 recommended (Nameplate default)
• Format: PNG, JPEG, or BMP
• Aspect ratio: 16:9 works best
• File size: Under 5MB
• Teams version: Background effects require Teams desktop app or new Teams web (Chromium browsers)
